We are the data controller for the personal data described in this policy. We are registered with the Information Commissioner's Office (ICO) under registration number 00014751430.
What information we collect
We only collect what we need to respond to you and to provide our services:
- Enquiry details you send through our contact form or by email — your name, company, email address, phone number and the content of your message.
- Service and support data if you become a client, as set out in our service agreement.
- Technical data collected automatically by our hosting, such as your IP address and basic request logs, used to keep the site secure and available.
- Spam-protection data: our contact form uses Google reCAPTCHA, which analyses interaction signals (such as your IP address and how you use the page) to tell people from bots, under Google's Privacy Policy.
How we use your information, and our legal basis
- To respond to your enquiry and provide the information or quote you asked for. Our legal basis is taking steps at your request before entering a contract, and our legitimate interest in answering enquiries.
- To provide and manage IT services to clients. Our legal basis is performing our contract with you.
- To keep the website and our systems secure. Our legal basis is our legitimate interest in protecting our business and our visitors.
- To meet legal, accounting and regulatory obligations. Our legal basis is compliance with those obligations.
Sharing your information
We do not sell your personal data. We share it only with trusted service providers who help us run our business, such as our IT, hosting, email and Microsoft 365 providers, and only where they are bound to keep it confidential and secure. We may also disclose information where the law requires it.
Cookies
Our website uses a small number of cookies and similar technologies. Some pages embed third-party content, such as a Google Map on our contact page, which may set its own cookies. See our Cookie Notice for the detail and how to manage them.
How long we keep it
We keep personal data only for as long as we need it. In practice that means:
- Enquiries that don't become work: 12 months from our last contact with you.
- Client records: for the life of our relationship, and then 6 years from the end of the contract, to meet UK contractual, tax and accounting requirements.
- Website and security logs: up to 12 months.
Where the law requires us to keep something for longer, we will. Once data is no longer needed, we delete it securely.
Your rights
Under UK data protection law you have the right to access, correct, delete or restrict the use of your personal data, to object to certain processing, and to data portability. To exercise any of these, contact us using the details above. You also have the right to complain to the ICO at ico.org.uk, though we'd appreciate the chance to put things right first.
Changes to this policy
We may update this policy from time to time. Any changes will be posted on this page with a revised “last updated” date.
